    • We use survey information to plan Kenora Play Café and understand what local families want.
    • We use membership information to manage purchases, payments, refunds and member communications.

    • We do not ask for children’s names through our survey.
    • We do not store your complete credit or debit card number.
    • We only send promotional emails when we have consent or are otherwise legally permitted to do so.
    • You can unsubscribe from promotional messages at any time.
    • You can contact us to access, correct or request deletion of your personal information.

    Survey information

    When you complete our family survey, we may collect:

    • Your general area, such as Kenora, the surrounding area or seasonal resident
    • The age ranges of children in your household
    • The number of children who would typically visit
    • How frequently you might visit
    • Your reasons for visiting
    • Features, food and drink options that interest you
    • Your preferred pricing and membership model
    • Your general level of interest
    • Your first name
    • Your email address
    • Your phone number, if provided
    • Your postal code, if provided
    • Comments, suggestions or concerns you choose to share

    We request age ranges and household information to help us design an appropriate space. We do not need or request children’s names through the survey.

    Membership information

    When you purchase or manage a membership, we may collect:

    • Your name
    • Your email address
    • Your telephone number
    • Your billing address
    • Information about your household membership
    • Your membership status and benefits
    • Transaction dates and amounts
    • Payment confirmations and transaction identifiers
    • Refund, cancellation and communication history
    • Your family name, if you choose to be included on the Founding Wall

    Payment information

    Payments are processed through a third-party payment provider.

    Your payment provider may collect your card number, expiry date, security code and billing information directly. Kenora Play Café does not store your complete payment-card number or security code.

    We may receive limited payment information, such as:

    • The card type
    • The last four digits of the card
    • Payment status
    • Transaction identifiers
    • The amount and date of payment

    The payment provider handles your information under its own privacy policy and security practices.

    Messages and inquiries

    If you email, call, message or communicate with us through social media, we may collect your contact information and the contents of your communication.

    Website and technical information

    When you visit our website, our website host and service providers may automatically process limited technical information, including:

    • Internet Protocol address
    • Browser and device type
    • Pages visited
    • Date and approximate time of access
    • Referring website
    • Basic security and diagnostic information

    This information may be used to operate, secure and improve the website.

    We may use or share aggregated and de-identified survey findings in:

    • Grant and financing applications
    • Presentations to landlords, lenders or project partners

    Aggregated findings will not identify an individual family.

    We will not publicly identify you, publish an identifiable survey comment or use your name as a testimonial without your permission.

    5. Emails and marketing

    We may send service-related messages when necessary to administer a survey response, purchase or membership. These can include:

    • Refund confirmations
    • Membership information
    • Opening Day notices
    • Changes affecting a purchase
    • Responses to questions you have asked

    These messages are different from promotional marketing.

    We will only send promotional emails when you have consented or when otherwise permitted by law. Promotional messages will identify Kenora Play Café and include a working unsubscribe option.

    You may withdraw your marketing consent at any time by:

    Unsubscribing from marketing does not prevent us from sending necessary transactional or membership-related messages.

    We will not send promotional text messages merely because you provided an optional telephone number. Separate consent will be requested before sending promotional texts.

    6. When we share information

    We do not sell or rent personal information.

    We may provide limited information to service providers that help us operate, including providers of:

    • Website hosting
    • Survey and form processing
    • Payment processing
    • Email delivery
    • Membership and customer management
    • Data storage and security
    • Accounting and professional advice

    Service providers may only use the information for the services they provide to us, subject to their contractual and legal obligations.

    We may also disclose information:

    7. Children’s privacy

    Our services are designed for families, but our website forms and membership purchases are intended to be completed by adults.

    We do not knowingly ask children to submit personal information directly through our website. Parents and guardians should not include children’s full names, medical information or other sensitive personal details in the survey’s written comment box.

    If you believe a child’s personal information has been submitted unnecessarily, contact us so that we can review and delete it where appropriate.

    8. Founding Wall

    Founding Families may be offered the option to display their family name on a public Founding Wall.

    Participation is optional. We will request permission before publicly displaying a family name.

    You may ask us not to display your family name or request its removal by emailing KenoraPlayCafe@gmail.com. Removing a name from the wall does not otherwise affect an active membership.

    9. How long we retain information

    We keep personal information only for as long as reasonably necessary for the purposes described in this policy.

    Generally:

    • Personal survey responses are retained while they remain useful for planning and evaluating the project.
    • Aggregated or de-identified survey statistics may be retained indefinitely.
    • Marketing contact information is retained until consent is withdrawn or the information is no longer needed.
    • Membership and transaction records may be retained for at least six years, or longer if required for accounting, tax, contractual or legal purposes.
    • Correspondence is retained for as long as reasonably necessary to respond, maintain records and resolve disputes.

    When personal information is no longer required, we will delete, destroy or de-identify it using reasonable measures.

    We may retain a limited record showing that someone unsubscribed so that we can honour that request.

    10. How we protect information

    We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information.

    These may include:

    • Limiting access to people who require the information
    • Using reputable service providers
    • Password and account-access controls
    • Secure payment processing
    • Staff and founder confidentiality practices
    • Secure deletion or de-identification when information is no longer required

    No website or storage system can guarantee absolute security. If a privacy breach creates a real risk of significant harm, we will take appropriate steps and provide notifications as required by law.

    12. Cookies and future analytics

    Our website and hosting provider may use essential technologies required to operate, secure and maintain the website.

    We do not currently describe any advertising pixel as active on the website. Before introducing tools such as a Meta Pixel, Google Analytics or advertising cookies, this policy should be updated to identify those tools and explain the information collected and available choices.

    Where legally required, we will request consent before activating non-essential tracking technologies.

    13. Third-party websites

    Our website may link to Facebook, Instagram, payment providers or other third-party websites.

    Those organizations operate under their own terms and privacy policies. We are not responsible for how an independent third-party website handles information after you leave our website.

    14. Changes to this policy

    We may update this Privacy Policy as our website, café and services develop.

    The updated version will be posted on our website with a revised “Last updated” date. If a change materially affects how we use information already collected, we will provide additional notice and obtain consent where required.
